General
When using digital tools, a valid email address is often a requirement for creating an account.
However, there are often situations where families want to use a single email address together, or for example children in a youth orchestra or children's choir do not yet have their own email address. Nevertheless, each person in the association should be managed as an independent member in the association.
To make this possible, sub-accounts can be created in Konzertmeister.
Share an email address with sub-accounts
As already mentioned, there are various scenarios why multiple Konzertmeister accounts should be created with one email address:
- Family or couple with a shared email address
- Children who do not (yet) have their own email address
- People without access to an email address who also want to be managed as members
For these situations, there is the option to create sub-accounts with a valid account. These receive their own generated sub-account address for login, which can then be used in Konzertmeister as an independent account.
View sub-accounts
To create a sub-account, go to your Profile and select the item Manage sub-accounts.
In the following view you can see all sub-accounts for your profile.
Create a sub-account
To create a sub-account, go to the view for your sub-accounts (see View sub-accounts). A new one can be created by clicking on the + button.
Here, in addition to first name, last name and password, a username can also be entered. This username and the email address of the main account result in the new email address of the sub-account.
The username must be at least 3 characters long and must not contain spaces or special characters.
Example:
- The main account has the email address family@konzertmeister.app
- If max is entered as the username, the sub-account address max:family@konzertmeister.app is created
A sub-account has the following properties:
- It can use all functions of Konzertmeister in full.
- It can be managed as a member in different associations independently of the main account.
- All email notifications to the sub-account are sent to the main account.
- The main account has its own appointment overview to view the appointments of the sub-account and can also enter replies there.
Once a sub-account is created, it can be used as an independent account with the generated sub-account address.
Log in with a sub-account
Once the sub-account is created, you can log in with the generated sub-account address and password.
Add a sub-account to an association
The generated sub-account address can also be used to add the sub-account to an association.
View appointments of my sub-accounts
Once a sub-account has been created, you have the option in the main account to view the appointments of your sub-accounts and submit replies. This function is primarily intended for parents to have an overview of their children's appointments and to coordinate them.
Once you have created a sub-account, a new menu item for representatives appears.
When this is selected, a new view appears. In this, the sub-account / the representative can be selected in the upper area. Below this selection, the future appointments of this account are displayed.
In the case of a sub-account, the appointments can not only be viewed, but also replies can be entered.
Restrictions for sub-accounts
The following actions cannot be performed with a sub-account:
- Creating another sub-account.
- Creating an association.
- Becoming an administrator of an association.
- Changing the email address.
Delete sub-accounts
To delete a sub-account, first go to the view for your sub-accounts (see View sub-accounts). Then the corresponding sub-account must be pressed and held until a dialog with actions for the sub-account opens.
A dialog will then appear in which the sub-account can be deleted.
Set password for sub-account
Since a sub-account does not have its own email address, resetting the password for these accounts is not possible. However, if the password is forgotten by the user of the sub-account, it can be reset by the user of the main account.
To set the password of a sub-account, first go to the view for your sub-accounts and open the dialog for the sub-account actions by pressing and holding the corresponding sub-account (see also the procedure from the point Delete sub-accounts).
Then select Set password and enter the new password twice.
Convert sub-account to independent account
If the owner of the sub-account has their own email address over time, there is the option to convert the sub-account into a complete, independent account.
To convert the sub-account, first go to the view for your sub-accounts and open the dialog for the sub-account actions by pressing and holding the corresponding sub-account (see also the procedure from the point Delete sub-accounts).
Then select Convert and enter the email address for the account twice.
All existing data, appointments and assignments to associations are retained when converting the sub-account and are transferred to the independent account.
Converting a sub-account to an independent account cannot be undone.
