A central element of Konzertmeister is the role concept in connection with the association structure. This can be designed flexibly and adapted to the structures in the association.

There are the following organizational units:

  • Association
  • Section
  • Group

For the organizational units (association, section, group), the following roles can be assigned any number of times:

  • Member
  • Leader
  • Co-leader
  • Secretary

The Admin role can only exist once per association.

Role: Member

Every association member has the Member role at the association level. If a member is assigned to a section or group, they receive an additional assignment to the respective organizational unit.

Role: Leader

The creator of the association automatically receives the Leader role at the association level upon creation. This is necessary so that they can subsequently manage the association. There can be multiple leaders at the association, section, and group levels.

A leader at the section or group level can only edit their organizational unit. Subsequently, they can also only create appointments for the sections or groups of which they are the leader. They also only see replies from these sections and groups by default. However, the visibility of replies can be adjusted.

The following general rules apply to leaders within their organizational unit:

  • Leaders of an organizational unit can manage members.
  • Leaders of an organizational unit can designate additional leaders and secretaries.
  • Leaders of an organizational unit can remove the leader role from other leaders.
  • Leaders of an organizational unit can remove the secretary role from secretaries.

For association leaders, the following additional rules apply:

  • Association leaders can manage sections and groups.
  • Association leaders can designate leaders and secretaries at the section and group level.
  • Every association leader is also automatically a leader of all sections and groups (but not a member).

Role: Co-leader

Co-leaders can, like leaders, see the replies and reasons from members for appointments. In addition, co-leaders have access to the reply table and attendance statistics.

Unlike leaders, co-leaders cannot edit replies from other members or record member attendance. They also cannot create or edit appointments and cannot make any other changes.

Role: Secretary

Secretaries have the authorization to record member attendance at appointments. The actual attendance is needed for later evaluations in the attendance statistics.

There can be multiple secretaries at the association, section, and group levels. Unlike leaders, secretaries cannot create or edit appointments and cannot make any other changes.

Role: Admin

An admin is an association leader who additionally has the authorization to manage the subscription for the association. The admin can purchase a new subscription or change or cancel an existing subscription.

There can only be one admin per association. The user who creates the association in Konzertmeister is initially automatically a leader and also admin of the association. Add a leader, co-leader or secretary

The procedure for managing roles (leader, co-leader, secretary) is identical in all organizational units (association, section, group).

To add a leader, co-leader or secretary, follow these steps:

  1. To edit roles in the association, go to the Roles section in the association details.

    If you want to add a role in a section or group, first select the respective section or group in the association details. Within the selected organizational unit, then select the Roles section again. Below you will find an example of the roles view in a section and a group respectively.

    In the Roles view, you can choose whether you want to see Leaders (user icon with star), Co-leaders (user icon with eye), or Secretaries (user icon with pen).

    After the appropriate role is selected, click the + button at the bottom right to add a new role.

  2. Now a list of members opens. Here multiple members can be selected. Select those members to whom you want to assign the corresponding role and click the Add button in the header.

  3. After successful completion, the newly added members will appear in the list of the respective role.

Remove a leader, co-leader, or secretary

To remove a leader, co-leader or secretary, follow these steps:
  1. Navigate to the roles view of the respective organizational unit. See step 1 in the section Add a leader, co-leader or secretary.
  2. Now press and hold the leader, co-leader or secretary to be removed until a dialog with Actions for roles appears.
