General
For association members who do not actively use Konzertmeister themselves, or where other people should also have insight into the appointments, there is the option to register representations at the association level.
Representations are suitable for the following situations:
- Members without an active account who were only created with name and phone number and should be represented by a specific person in the association
- Youth members with a valid email address who are already registered in the association, but whose parents should also have insight into the appointments
- Members with a partner who should also have insight into the appointments
Create a representation
To create a representation as a leader, go to the Members section in the association details and select the member to be represented.
In the member details, existing representations are displayed in the Representations section. To add a new representation, press the + button.
In the view for creating the representation, the following things must then be selected:
-
Rights of the representation
Details can be found under the following section: Rights of the representation
-
Representing person
Details can be found under the following section: Select representing person
After entering the data, click Create representation at the top right.
The newly created representation appears in the list of representations of the member.
Rights of the representation
A representation can be created in two different modes:
-
Read
In this mode, appointments can only be read by the representation. No replies can be given. This mode is helpful, for example, for parents to have an overview of their children's appointments.
-
Read / Write
In this mode, replies can also be entered by the representation. This mode is intended, for example, for members who were registered with Konzertmeister but do not actively use it.
Select representing person
The representing person can be
- a member of the association.
- an external person who is invited via email address. This person can either be an already active Konzertmeister user, or someone who does not yet have a Konzertmeister account. The invited person receives an invitation to Konzertmeister and to represent the person in that case.
View appointments of my representations
Once a Konzertmeister user is registered as a representation for someone, they have the option to view the appointments for the people they represent and (depending on the given rights) give replies.
Once you are registered for a representation, a new menu item for Representations appears.
When this is selected, the Appointments for representations view appears. In this view, the representation / sub-account can be selected in the upper area. Below this selection, the future appointments of this account are displayed.
In the case of write permissions, the appointments can not only be viewed, but replies can also be entered.
A representation at the association level naturally only sees the appointments of the association in whose context the representation exists.
Delete representations
Representations can be deleted by association leaders at the association level or directly by the member themselves. Both options are explained in the following sections.
Removing representations by association leaders
To delete a representation as a leader, go to the Members section in the association details and select the member to be represented.
In the member details, existing representations are displayed in the Representations section.
To remove a representation for the selected member, press and hold the corresponding representation until a dialog with Actions for representation appears. Select Delete and answer the confirmation prompt with Yes to remove the representation.
Removing your own representations
To delete your own representations, the Manage representations item must be selected in your own profile.
In the following My representations view, the existing representations for your own account are displayed.
To remove your own representation, press and hold the corresponding representation until a dialog with Actions for representation appears. Select Delete and answer the confirmation prompt with Yes to remove the representation.
