Vacations, sick leave, business trips, parental leave, and many other reasons can prevent participation in rehearsals, performances, and other appointments. To make planning easier for your association, you can record absences for your members so that they are taken into account when planning appointments.

Display absences of association members
To display the absences of association members, select your association in the Association overview and then select Absences in the association details.
In the web app, there is a selection option for Absences in the Members section.
In the following view, a list of all current and future absences of association members is displayed.
The recorded absences can have the following types:

Absences at association level
These are absences that relate to a specific association. These can be created and deleted both by the association leader and by the member themselves (in the profile).

Global absences
These absences can only be created by the member themselves and relate to all associations of the member. Global absences can only be created and deleted by the member themselves.

Create new absence for a member
To create a new absence for a member of the association, click the + button in the absences.
For a new absence, you can enter the following data:

Absence reason
-
Start date
-
End date (optional)
If nothing is specified, the absence is open-ended. -

Invitation behavior
For appointments during the absence period, you can choose from the following invitation behaviors:-
Invite
The member will be invited to new appointments despite the absence. Participation in existing appointments remains unchanged. -
Invite with automatic cancellation
The member will be invited to new appointments despite the absence. Participation will be automatically canceled (negative reply) for new and existing appointments. -
Do not invite
The member will not be invited to new appointments. Participation in already existing appointments will be automatically canceled.

After entering the data, click Create absence at the top right.
The newly created absence appears in the list of absences of the association.
Appointment creation with absent members
Absence planning only fulfills its intended purpose if the absences are taken into account where you need them - when creating and editing appointments.
When a new appointment is created, Konzertmeister automatically checks the selected appointment period and the invited members for absences and displays them.
When you go to the member selection, the period, invitation behavior, and reason for absence are displayed for absent members.
